When a prospect types "plumber near me" or "hairdresser in town" into the search bar, the first thing they see is Google Business Profile listings with their star ratings. And that's where it all plays out:

Reviews are one of the most powerful levers to get in. A strong review profile combined with a well-optimised listing can push you ahead of competitors who've been in business longer than you.

The proven method to get more Google reviews

This is the heart of this article. No abstract theory: here are the 5 steps we use at HK COM and teach our clients.

Step 1 — Ask at the right moment (face-to-face)

The best time to ask for a review is right after a successful job. The client is satisfied, they've just seen the result, positive emotion is at its peak. That's when you simply say: "If you're happy with the result, a quick Google review would really help us out."

No long speech needed. Face-to-face requests have a conversion rate of 70% or higher — compared to under 10% for an email sent 3 days later.

Step 2 — Make it as easy as possible

The golden rule: less than 30 seconds to leave a review. If your client has to search for your listing, navigate through Google Maps and find the "Reviews" button, you've lost them.

Create a direct link to your review page from your Google Business Profile. Then turn that link into:

  • A QR code printed on your business cards, quotes and invoices
  • An automatic text message sent right after the job ("Thanks for your trust! Your review means a lot to us → [link]")
  • A follow-up email with the link prominently displayed

The goal: reduce friction to zero. The client scans, taps, rates, writes two sentences — done.

Step 3 — Create a regular rhythm

Google doesn't want to see 30 reviews at once then nothing for 6 months. The algorithm favours consistency. Aim for 2 to 4 reviews per month minimum. That's far more effective than a one-off mass collection campaign.

To achieve this, build the review request into your end-of-job process. Just as you get a sign-off or send an invoice, systematically add a review request. It becomes a habit, not a chore.

Step 4 — Respond to EVERY review

This is the step 90% of businesses neglect — yet it's one of the most important.

Responding to positive reviews shows you're active and attentive. A simple "Thank you Mrs Martin, glad you love your new kitchen!" humanises your listing and encourages other clients to leave their own review.

Responding to negative reviews (we dedicate the next section to this) is even more crucial. A professional, empathetic response can turn a detractor into an advocate — and most importantly, it shows future clients that you take problems seriously.

According to Artur'In 2025, businesses that respond to more than 80% of their reviews see their average rating increase by 0.3 points within 6 months.

Step 5 — Enrich your listing with photos

Google Business Profile listings with recent photos attract 2 to 3 times more clicks than listings without visuals (Geolid 2025). Regularly add photos of your work, your team, your premises. It's free and it significantly strengthens trust.

A prospect who sees photos of real projects, real dishes or real results will be far more inclined to contact you — and to leave their own review after their experience.


How to respond to a negative review without making things worse

Nobody likes getting a negative review. But a bad review handled well can become your best advertisement.

The 4-step method

  1. Breathe. Never respond in the heat of the moment. Wait at least 2 hours. A reply written in anger always causes more damage than the review itself.

  2. Thank and acknowledge. "Thank you for taking the time to share your feedback. We're sorry your experience didn't meet your expectations." Even if the client is wrong, acknowledging their feelings defuses the tension.

  3. Offer a solution privately. "We'd love to discuss this with you to find a solution. Could you contact us at [number/email]?" By moving the conversation to a private channel, you avoid a public exchange that could escalate.

  4. Show progress. If the issue raised is legitimate, explain what you've done to prevent it from happening again. "Following your feedback, we've revised our procedure for…"

What you should never do

  • Don't write a long defensive paragraph justifying yourself publicly
  • Never blame the client — even if they're exaggerating or lying
  • Never ask friends or family to post fake reviews to "balance things out". Google detects fraudulent reviews and can suspend your listing entirely

A future client who reads a negative review followed by a professional, constructive response thinks: "This professional takes things seriously." That's often more reassuring than a listing with nothing but five-star reviews.

The 5 mistakes that kill your Google reviews

We see them every week. These are the most common — and most costly — mistakes made by SMEs on Google:

1. Never asking. This is mistake number one. Your satisfied clients don't spontaneously think to leave a review. The unhappy ones do. Result: your rating doesn't reflect the reality of your work.

2. Having a complicated link. If your client needs 5 clicks to find where to leave a review, they give up. A direct link + QR code is essential.

3. Not responding to reviews. A listing with 50 reviews and zero responses sends a clear signal: "We don't care." Respond to everything — positive and negative.
